ATTENTION CO-OP DIRECTORS AND CHILD NUTRITION DIRECTORS
The purpose of this memo to provide School Food Authorities/Local Education Agencies (SFA/LEAs) the information needed to complete the Renewal of Agreement and Policy Statement between the Arkansas Department of Education, Child Nutrition Unit (ADE CNU) and the SFA/LEA.
The Renewal of Agreement and Policy Statement as well as all Attachments (Renewal Agreement Packet) are an assurance between the SFA/LEA and ADE CNU that all aspects of the 2015-16 Original Agreement, Policy Statement and all Attachments are still in effect. The Renewal Agreement Packet updates district specific information for the upcoming school year as well as revises the Original Agreement Packet with appropriate state and federal regulations and requirements.
Each SFA/LEA district Superintendent has been mailed a letter and the School District Specific Schedule A. The Renewal Agreement Packet is posted on the Child Nutrition web site at http://www.arkansased.gov/divisions/child-nutrition-unit/forms. Districts must go to the web site and complete the following forms:

The SFA/LEA must complete the Renewal Agreement Packet indicating the programs the school district plans to operate during 2018-19 school year, the dates of operation, and the number of serving days for each program. If any information that is part of the Original Agreement or Renewal Agreement changes during the school year, the SFA/LEA must submit those changes in writing, to ADE CNU immediately.
The forms listed above are available in fillable format on the Forms page of the Child Nutrition website. These forms must be opened in Internet Explorer to be completed.

NOTE: As soon as the Income Eligibility Guidelines are released by USDA, a separate Commissioners’ Memo will be issued with the Free and Reduced Price Meal Application and Forms and Letters Packet. SFAs are reminded that the Free and Reduced Price Meal Applications cannot be distributed until July 1, 2018 for school year 2018-19.
May 21, 2018 DEADLINE:
Please DO NOT HOLD any paperwork for a new Superintendent or Child Nutrition Director’s signature and/or meal prices. The Renewal of Agreement must be updated at any time during the school year when changes are made within the SFA/LEA. If the district has a change in Superintendent or Child Nutrition Director, a letter from the district with the new Superintendent and/or Child Nutrition Director’s original signature and contact information must be sent to Suzanne Davidson, Director, Child Nutrition Unit, Arkansas Department of Education at the address below.
Be sure that all requested materials that require original signatures are signed and returned.
Please complete and return ONE (1) set of the Renewal Agreement Packet (including checklist) by the May 21, 2018 DEADLINE to:

AFTER APPROVAL BY ADE CNU:
ADE CNU will email a copy of the Renewal Agreement Packet to the Superintendent and District Child Nutrition Director of the School Food Authority (SFA/LEA), following approval by Suzanne Davidson, Director, ADE Child Nutrition Unit.
It is extremely important that ALL DISTRICT PERSONNEL that have responsibilities for Child Nutrition Program compliance have copies of the 2018-19 Renewal of Agreement, Renewal of Policy Statement and ALL Attachments.
